ROLES AND RESPONSIBILITIES:
1. Corporate contracts and customer contact
Meeting contract-reporting requirements.
. Meeting or wherever possible exceeding contractual KPIs.
. Ensure all information required for the Weekly KPI report is updated daily, correct and in
format as directed.
. Ensure ISO 9001 maintained at all times
. Ensure Health and Safety requirements are maintained and unsafe practises acted on.
2. Transport operations
Re-enforcing best practice daily including assisting the WH&S manager to ensure safe work
is the priority.
. Ensure timely communication of delivery updates and proactively resolve any service
disruptions.
Ensure Equipment Interchange Receipts (EIR), Delivery Dockets(DD), prestart checks, and
run sheets are returned in good order, signed and completed by the drivers at the
completion of their shift.
Ensure all EIR and DD are uploaded into IQS within 24hrs of delivery.
. Write detailed incident reports for major accidents, thefts, injuries, and customer complaints.
To be provided to Senior Management with 24 hours of notification of the event.
-- Ensure all fleet are available from 08:00 hrs with drivers ready to work.
-- Monitor fuel consumption and implement strategies to reduce fuel costs and promote fuel
efficiency. Effectively discipline drivers that have avoidable breakdowns or run out of fuel.
-- Manage vehicle inspections through prestart checks focusing on registrations,
roadworthiness of fleet, and vehicle cleanliness to ensure compliance with company
requirements.
-- Use data insights such as Master Systems reports to make data-driven decisions and
implement process enhancements.
. Daily approval of Over Time (OT) expenses to drive reductions in non-necessary OT.
-- Develop transportation plans and schedules for the week, taking into account client
demands and workshop (long stay breakdowns/servicing).
. Coordinate daily with the client's logistic department counterparts as the primary contact
with secondary contact being sales and production, to ensure smooth operations and timely
delivery of goods.
3. Warehousing operations
. Oversee day-to-day running of the contracts warehouse operation.
. Develop tracking and improvement strategies around Key Performance Indicators such as
on-time fulfilment, labour cost productivity per hour/unit/case, incident and safety rates, and
inventory accuracy. Communicate these metrics to supply chain partners on a regular/set
basis.
-- Control of cataloguing and stock control.
. Ensure weekly and monthly stocktakes are correctly captured and reported to the relevant
clients.
. Management of the company and client WMS.
-- Lead contract-specific investigations for variances and stock discrepancies.
-- Ensure all QC checks completed as per customer requirements for palletised and
containerised stock inbound and outbound.
. Ensure 48-hour delivery schedule and container movement plan is communicated daily,
monitored to ensure all containers are pre checked as per requirements day before delivery
takes place, manage the exceptions.
4. Other Duties
Conduct daily toolbox talks at the start of each and every day, with a focus on safety and
efficiency.
Generate weekly operational reports for the Business Unit Manager's meetings and present
findings to senior management, highlighting performance trends and areas for improvement.
-- Manage contract industrial disputes and staff complaints.
Represent EFM to the highest standard both in and out of work.
