Monier Limited the single largest producer, supplier and distributor or construction materials and building products in PNG is seeking to recruit suitably qualified and highly motivated individual for the following position:
Accounts Payable Officer
This role will assist the Accounts Payable Supervisor in all aspects of accounts payable activities. The role complements all finance sections in the executions of their respective tasks in an efficient and timely manner.
Duties Include:
- Manage assigned local suppliers as well as overseas accounts
- Check/verify invoices, SOA and related correspondence received from suppliers
- Batch out invoices received to order recipient/divisional head for signing/approval
- Follow-up on outstanding invoices, credit notes, delivery dockets where necessary & ensure they are attached correctly
- Ensure invoices and PO’s are received for code allocation are accompanied with appropriate supporting documents and are approved based on the authorized level of authority
- Raise Goods Receive Note (GRN) through the system from invoices received from Purchasing department
- Create PO invoices in Purchasing Module and process approved invoices in AP Module
- Following up SOA for reconciliation purposes either COD+30 days net
- Arranging direct deposits & providing remittances to suppliers once processed
- Advising suppliers for cheque collection/swap or arrange drop off with Admin Driver upon payment release approval from the AP Supervisor
- Ensure utilities & accommodation rental bills are received & settled immediately
- Preparing cost break-up for fleet monitoring services & security services
- Update AP Invoice Register accordingly when given access by the AP Supervisor
- Monthly updating of Standard Payment checklist to ensure cost is captured within the expected period & for Accrual purposes
- Forward invoice copies for recharges, FAR/WIP File, prepayments, Insurance/medical claims, and payroll deductions. Medical receipts (original copy) to be forwarded to Insurance Officer for claim
- Attend/Settle all queries in a timely manner
- All other tasks assigned by the Accounts Payable Supervisor and finance superiors
Qualification & Experience Required:
- Grade 10 or 12 equivalent or;
- Certificate in Accounting, Business Administration, Management, Finance or related field
- 1 – 2 years of experience in a similar position
- Very good analytical thinking, and organization skills
- Attention to details and deadline oriented
- Honesty, integrity and reliability
