Position Title: Admin & Compliance Officer

Department: Fuel Logistics

Reporting to: Regional Contract Manager/Operations Supervisor

JOB SUMMARY:

Responsible for maintaining administrative records, compliance documentation, and audit readiness for the EFM Fuel Logistics Division. Ensures all licenses, permits, reports, and safety records are updated and accurately filed.

DUTIES AND RESPONSIBILITIES:

- Maintain and update all operational and compliance registers (driver, vehicle, calibration, PPE, etc.).

- Prepare and file delivery records, waybills, and trip sheets daily.

- Assist with payroll inputs, timesheets, and attendance records.

- Prepare and submit monthly compliance and operational reports.

- Track training, medicals, and certification expiry dates for all staff.

- Coordinate document readiness for audits and inspections.

- Assist in stock control and purchasing of logistics consumables.

- Ensure safety and operational documentation is up to date and signed off.

- Support both Port Moresby and Lae branches with admin and compliance tasks.

- Maintain good communication with the operations team and management.

SKILLS AND QUALIFICATIONS:

- Bachelor’s degree in Business Administration, Compliance, or equivalent experience.

- Strong attention to detail and record-keeping skills.

- Ability to manage multiple registers and filing systems accurately.

- Good knowledge of compliance reporting and audit preparation.

- Competent in Microsoft Office and basic data entry systems.

- Excellent communication and teamwork skills.
