We are currently looking for suitable, qualified, experienced, and highly motivated professional to fill the role of Administration & Logistics Officer to be based in Kiunga, Western Province.
PURPOSE OF THE POSITION
The purpose of this role is to assist with administrative, Logistics and Procurement section in support to the goals and objectives of the Coporate Service Department . This ensure responsive customer services to all departments and projects to fulfill the mission of World Vision in PNG.
MAJOR ROLES AND RESPONSIBILITIES
Operational Support and Coordination
- Support the Administrative Coordinator in providing prompt customer services to carry out and accomplish the goals of Administration unit.
- Develop and maintain good working relationships with service providers to obtain the best
- Ensure integration of work with other team members in Administration unit.
- Support the Admin Coordinator in working with different office clients to ensure customer satisfaction.
- Make sure that internal & external travel and accommodation needs and other hotel reservations are done on a timely manner
Logistics and procurement functions
- Process purchase requisitions / orders within purchasing authority to support smooth project implementations
- Invite, assess, and award/recommend supplier tenders, bids, quotations, and proposals
- Establish and negotiate contract terms and conditions, and maintain supplier relationships
- Prepare and maintain purchasing records, reports and price lists
- Work with internal and external stakeholders to determine procurement needs, quality, and delivery requirements
- Obtain supplier price quotes on a timely manner. Place orders with suppliers on time to ensure timely delivery of materials to the project sites.
- Assist in the development of specifications for equipment, materials, and services to be purchased
- Administer contract performance, including delivery, receipt, warranty, damages and insurance
- Reconcile or resolve value discrepancies
- Comply with and maintain knowledge of applicable rules, legislation, regulations, standards, and best practices
- Address staffing resource needs and supervise purchasing clerks
- Develop and maintain constructive and cooperative working relationships with colleagues and management
Quality Assurance and compliance
- Ensure that financial transactions specifically office bill payments are within financial and administrative policies and procedures.
- Support the Administration Coordinator to ensure that all office practices are compliant with administrative & finance policies and procedures.

EDUCATIONAL QUALIFICATION/SKILLS, KNOWLEDGE & EXPERIENCE
- Diploma or Bachelor’s Degree in Administration or relevant field
- Minimum of 2 -5 years experience in office administration experience, logistics & procurement roles
- Experience in office asset repair and maintenance
- Experience or exposure to project management in the NGO space
- Able to work independently and with minimal supervision
- Intermediate skills in Microsoft applications
- Strong oral, written and interpersonal communication skills
- Customer service

- Must be a Christian
