Job Description: Administration/ Office Manager
Position Summary
The person will control the day to day operations of the organization in liaison with the Grounds and Facility Manager. The role is primarily accounting based, requiring in addition strong verbal and written communication skills with a capability of meeting very tight accounting and administrative deadlines. The roll requires confidence to deal with a wide range of people from different companies and of different levels of seniority.
Key Responsibilities
- Produce monthly Management Accounts using MYOB and present the Financial Statements to Senior Management by the end of the first week of the following month.
This will involve
- Issue Invoices for services rendered and collect debts
- Posting sales invoices
- Preparing payment Requisitions after checking Invoices to Statements and orders
- Posting Purchase/ expense invoice
- Posting receipts and payments
- Reconciling to the bank statements
- Maintaining debit card record
- Ensuring you obtain GST invoices to facilitate claiming back GST
- Accounting for GST and Salary and wages Tax
- Ensuring GST and SWT is paid on time
- Reporting anything you are unable to resolve to management as soon as possible to get matters fixed promptly.
- Answer general enquiries received by email or other mediums immediately and if not able to respond in detail provide an expected time of reply.
- Keep the office clean and functioning at all times ensuring all office equipment is functional and stationery supplies are sufficient.
- Maintaining a control over all office assets ensuring their safe custody and functionality.
- Managing office staff as required.
- Have an ability to solve complex problems, be able to liaise with the management team and customers and have an open and friendly manner.
- Review old records and destroy anything which is beyond the statute of limitations after approval of management.
Qualifications & Skills
Essential
- 5 years previous experience as an accountant in a medium sized organisation with proven ability to produce accurate monthly management accounts.
- Able to manage the office and ensure all regular monthly service payments are monitored and paid on time.
- Strong written communication skills
- Strong organisation skills, and able to maintain an updated data base for clients
- People skills, able to communicate with clients of different levels of seniority
- Able to present verbally to the management team the Financial Statements and supporting schedules of accounts receivable, accounts payable, wages summary, bank . Provide an ancillary verbal report of problem areas, uncollected debts and proposed solutions.
- Able to operate under pressure.
