1. Administrative & Compliance Assistant

Job Summary
The Administrative & Compliance Assistant is responsible for providing administrative, compliance, and property management support to ensure the smooth and efficient operation of the business. The role includes managing documentation, maintaining records, coordinating maintenance activities, assisting with lease administration, and supporting compliance requirements.

Key Responsibilities

  • Provide administrative support to management and staff.
  • Reply to emails and correspondence in a timely and professional manner.
  • Coordinate and schedule meetings, conferences, and appointments.
  • Maintain and update property records and the master property database using Microsoft Excel.
  • Maintain and update Linpossible and other company databases.
  • Organize and maintain filing systems for lease agreements, utility bills, rental invoices, contracts, reports, and other company records.
  • Assist in the preparation, review, and administration of lease agreements and contracts.
  • Monitor lease and contract expiry dates and assist with renewals.
  • Coordinate maintenance requests and repairs for company-managed properties.
  • Liaise with landlords, tenants, contractors, and service providers regarding maintenance and property-related matters.
  • Follow up on maintenance works to ensure timely completion and satisfactory outcomes.
  • Prepare and maintain reports relating to properties, leases, rentals, utilities, maintenance, and compliance matters.
  • Occasionally travel off-site to deliver rental invoices, utility bill invoices, contracts, and other company documents.
  • Assist in ensuring compliance with company policies, procedures, and regulatory requirements.
  • Support audit and compliance activities by maintaining accurate and complete records.
  • Perform other administrative and compliance duties as assigned by management.

2. Maintenance Supervisor -

Key Responsibilities:

  • Supervise and coordinate all preventive and corrective maintenance activities for facilities, equipment, and building systems.
  • Ensure maintenance works are completed efficiently and in compliance with safety standards.
  • Monitor the condition and performance of equipment and facilities, identifying maintenance requirements and recommending improvements.
  • Manage maintenance schedules, work orders, and inventory of tools, materials, and spare parts.
  • Coordinate with contractors and service providers for specialized maintenance and repair works.
  • Maintain accurate maintenance records and prepare reports as required.

Qualifications:

  • Proven experience as a Maintenance Supervisor or in a similar maintenance role.
  • Strong knowledge of facility maintenance, including electrical, plumbing, mechanical, and building systems.
  • Preferably a qualified Air Conditioning and Refrigeration Technician with hands-on experience in the installation, maintenance, and repair of air conditioning systems.
  • Ability to diagnose and resolve maintenance-related issues effectively.
  • Strong leadership, organizational, and communication skills.
  • Willing to work flexible hours and respond to maintenance emergencies when required.

3. IT Officer / IT Administrator

Key Responsibilities

IT Infrastructure & Systems

  • Maintain and monitor company servers, network systems, internet connectivity, and IT infrastructure.
  • Install, configure, and troubleshoot hardware, software, printers, and other IT equipment.
  • Manage user accounts, email systems, and access permissions.
  • Ensure data backup, recovery, and system security procedures are implemented.

Technical Support

  • Provide technical support to employees for hardware, software, and network-related issues.
  • Diagnose and resolve IT problems in a timely manner.
  • Coordinate with external IT vendors and service providers when necessary.

Asset Management

  • Maintain an inventory of IT equipment, software licenses, and accessories.
  • Monitor issuance, transfer, maintenance, and disposal of IT assets.
  • Ensure proper documentation of all IT assets and equipment.

Cybersecurity & Compliance

  • Implement and monitor IT security policies and procedures.
  • Manage antivirus, firewall, and endpoint security solutions.
  • Ensure compliance with company IT policies and data protection requirements.

System Improvement & Projects

  • Recommend and implement technology solutions to improve operational efficiency.
  • Assist in IT-related projects, system upgrades, and digital transformation initiatives.
  • Prepare IT reports, documentation, and user guides as required.

Qualifications

  • Bachelor's Degree in Information Technology, Computer Science, or related field.
  • At least 3 years of experience in IT support, system administration, or network management.
  • Knowledge of Windows Server, Microsoft 365, networking, and cybersecurity principles.
  • Strong troubleshooting and problem-solving skills.
  • Good communication and user support skills.
