Administrative Assistant

The Organisation:

Pacific Adventist University (PAU) is owned and operated by the South Pacific Division of the Seventh-day Adventist Church. The institution is accredited to the Adventist Accreditation Association, an international denominational authority for all tertiary and graduate educational programs and institutions owned by the Seventh-day Adventist Church entities. The main campus is located on the pristine Koiari Park, 14 miles outside Port Moresby, the capital of Papua New Guinea. The institution was established in 1984. Since then, it has grown from a college of 20 students, to a university of over 1000 students from across the Pacific.

The Role:

The Administrative Assistant is primarily responsible to the Director, Properties, Facilities & Transport and is responsible for providing administrative and organizational support in support of effective and efficient operations of the Properties, Facilities & Transport Department.

Core Responsibilities:

  • Being the first point of contact for the Properties, Facilities & Transport
  • Manage the logging of maintenance requests and distribution of job lists to relevant team members.
  • Provide administrative support for the department, including but not limited to: reception, answering of telephone, photocopying, collating, binding, shredding, filling, handling incoming and outgoing department mail and other general office duties.
  • Conduct daily attendance checks and coordinate leave applications and other relevant forms for the department.
  • Keep an accurate record of department staff members Book and Equipment Allowance usage on a yearly basis.
  • Word processing letters, memos, mail outs, notices, reports, information handouts, etc.
  • Ensure office equipment is maintained in working order.
  • Cost and charge for private/business telephone, photocopying, and vehicle use within the department.
  • Maintain stationery supplies for the department.
  • Carry out other responsibilities as directed by the Properties, Facilities & Transport.

About you:

Qualifications and Skills required:

  • A certificate/diploma in secretarial studies, office management or other related areas of study.
  • Have a minimum of 2 years’ experience in a similar role.
  • Have an interest in and aptitude for cross-cultural ministry.
  • Excellent communication and interpersonal skills.
  • Excellent time management, organizational and multi-tasking skills.
  • Ability to work under pressure, unsupervised and to meet deadlines
  • Ability to maintain confidentiality of office communication, records and files.
  • Proficient in MS Word and Excel, with a strong ability in electronic data entry and data management.
  • Basic knowledge of Occupational Health & Safety and willingness to learn and support a safe work environment.
  • Ability to work in a team environment and work as a team player.
