Admissions & Students Records Officer
The Organisation:
Pacific Adventist University (PAU) is owned and operated by the South Pacific Division of the Seventh-day Adventist Church. The institution is accredited by the Adventist Accreditation Association, an international denominational authority for all tertiary and graduate educational programs and institutions owned by the Seventh-day Adventist Church entities. The main campus is located on the pristine Koiari Park, 14 miles outside Port Moresby, the capital of Papua New Guinea. The institution was established in 1984. Since then, it has grown from a college of 20 students to a university of over 1,000 students from across the Pacific.
The Role:
The Admissions & Student Records Officer reports to the Assistant Registrar and serves as a point of contact for all information relating to Undergraduate and Postgraduate Courses offered by the University. This position is responsible for administering and supporting the student admissions process from application through to the applicant’s acceptance, offer and enrolment. It includes entry requirements, in accordance with institutional admission policies, relevant regulatory requirements and also for information on visa applications for international students.
Core Responsibilities:
- Be responsible for responding to all communication concerning entry requirements, admissions processes and visa applications for international students, from both current and prospective students, as well as parents, sponsors, public and private bodies and other stakeholders.
- Be responsible for managing applications electronically (online) or manually (where required) and providing course information or feedback to interested applicants and/or school bodies or nominated representatives.
- Review and ensure that completed application forms (online) or manually are ready for screening and selection by the Course Coordinator and/or the School Dean and the Academic Registrar or his/her associate.
- Provide administrative support to the student selection process using the Student Management Admissions system.
- Manage the application registry accordingly after the screening and selection process is done for each of the applicants for the different admission categories.
- Responsible in processing offers and admissions decisions with accompanying documents, ensuring they are conveyed to applicants in a timely manner.
- Be responsible for updating and archiving student files aside from any general filing as required within the Academic Office.
- Take lead in the preparation and lodgement of entry permit and visa extension application at the PNG Immigration for overseas students and their dependents.
- Work with the Academic secretary or designated officer in keeping a register of all students (and dependent) visas and passports kept in the safe, noting their expiry dates monthly and ensure passports and visas are renewed prior to the expiry dates.
- Assists with the preparation and release of admissions information as requested with participation in student recruitment and outreach activities such as career expos, open days or other arranged information sessions.
- Contribute to an environment of devotion/worship at the Work Team and Department level.
- Other duties as directed by the Assistant Registrar.
About you:
Qualifications and Skills required:
- Possesses a PhD or equivalent qualification and is a recognized scholar with expertise relevant to the school’s academic disciplines.
- Demonstrates the ability to work effectively in diverse cross-cultural environments while upholding
- Active relationship with Jesus Christ, characterized by a deep desire for worship and service to God.
- Diploma level qualifications business administration, records/data management, and/or related fields, with a bachelor’s degree to be viewed favourably.
- Minimum of 3 years’ experience, preferably in a School Office environment.
- A sound working knowledge of, and proven loyalty to, the church its organisation and policies.
- Have an interest in and aptitude for cross-cultural ministry.
- Knowledge of student admission and enrolment processes.
- Excellent interpersonal and communication skills.
- Excellent organisational and time management skills.
- Proven knowledge of cataloguing and filing.
- Proven knowledge of MS applications, with experience in data software highly regarded.
- Strong ability to maintain respect and confidentiality of privileged information.
- Be knowledgeable of Occupational Health and Safety (OHS).
- Be able to take delegation and strong team player.
