Assets and Fleet/Warehouse Officer

Where you come in:
In this full-time maximum term position based in Port Moresby, you will be responsible for three key areas: 1) efficient management of the country office’s fleet/vehicles and transport needs; 2) effective management of the country office’s assets and equipment; and 3) effective management of the country office’s warehouses, inventories, and stores. This role will be based in the national office in Port Moresby, but providing support to the field/provincial offices as needed and requested.
You will make an impact by:
Asset Management
- Maintain an up-to-date asset register, including vehicles, equipment, and other assets, as defined by the country office and relevant donors.
- Liaise with the finance team to ensure asset updates are accordingly updated in Agresso.
- Implement asset management policies/procedures and accompanying documentation, ensuring all staff are aware of asset management and use policies.
- Conduct regular physical verification of assets and reconcile with records at least once annually. Update documentation when assets are transferred to new locations.
- Tag and label all assets in accordance with Save the Children procedures and ensure asset registers include this information accurately.
- Coordinate asset repairs and servicing where applicable, and in collaboration with the IT Officer for ICT-related assets.
- Ensure proper documentation and procedures are in place for asset sales and donations.
Warehouse Operations
- Oversee the receipt, storage, and dispatch of goods and materials.
- Ensure that all goods received, transferred and distributed
- Maintain a system that ensures proper documentation of all warehouse transactions, such as waybills, goods received notes (GRN), delivery notes, and stock cards, etc. Ensure this warehouse management system is in place across all field offices as well.
- Maintain accurate inventory records and conduct regular stocktakes. Provide monthly inventory/stock reports for each office. Facilitate spot checks as needed and requested.
- Ensure warehouse cleanliness, organization, and compliance with health and safety regulations (both Save the Children and national as applicable.)
- Alert programme teams on residual inventory stocks when projects are closing.
- Help ensure that program teams have distribution plans and documentation in place when distribution goods to beneficiaries and/or external stakeholders.
Fleet Management & Coordination
- Manage daily vehicle movements, receiving vehicle requests and meeting demands. Help encourage timely planning of vehicle and transport needs.
- Organise driver rosters, ensuring adequate coverage and proper leave management.
- Schedule and track vehicle usage, ensuring optimal allocation and minimal downtime. Ensure that vehicle logsheets are properly and accurately completed.
- Monitor the deployment of GPS monitoring mechanisms and flag any issues of concern immediately (such as unsafe driving, unapproved movements, etc.)
- Maintain accurate records of vehicle assignments, mileage, fuel consumption, and service history. Maintain digital and physical filing systems.
- Provide monthly reports on fuel consumption and other relevant metrics
- Ensure that maintenance is carried out effectively by the relevant service providers and report any unresolved issues.
- Work with the Supply Chain Manager to ensure that accountable procedures are in place for fuel procurement, management and consumption with proper controls.
- Ensure all vehicles meet safety and roadworthiness standards as per PNG regulations.
- Maintain up-to-date registration, insurance, and licensing for all fleet assets; ensure that a system is in place for tracking renewals in a timely manner.
- Ensure that drivers conduct daily vehicle checks with an agreed checklist, flagging any issues arising so they can be addressed in a timely manner.
- Assist with addressing vehicle incidents and accidents as needed by the Safety and Security Manager and Operations Director.

You must have a thorough and pay attention to details. Proficiency in tracking, organizing and maintaining stocks to ensure optimal inventory control. You must be flexible to open to change.
This role requires:
- Minimum 3 years of experience in logistics management, including fleet management, asset, and warehouse management, preferably in NGOs or similar environments.
- Valid PNG driver’s license (Class 6 or higher preferred); knowledge of road safety regulations in PNG.
- Diploma or Degree certificate in Logistics, Transport Management, Business Administration, or a related field is an advantage.
- Experience with inventory management systems or ERP software is an advantage.
- Strong knowledge of vehicle maintenance and management.
- Proficiency in Microsoft Office and fleet management software is an advantage.
- Knowledge of PNG’s procurement and asset disposal regulations is an advantage.
