COMMERCIAL & CONTRACTS COORDINATOR

We are seeking an experience and commercially focused Commercial & Contracts Coordinator to join our Operations team in Lae.

This is an excellent opportunity for a motivated professional who enjoys working in a fast-paced, project-based environment and is confident managing contracts, commercial records, pricing schedules, variations, claims, invoicing support and operational reporting.

The successful candidate will play an important role in supporting QED’s drilling projects and client agreements while helping ensure commercial obligations, deadlines, approvals and financial controls are accurately managed.

Location: Lae, Morobe Province

Department: Operations

Reporting to: Operations Managers

Employment Type: Permanent, and open to FIFO out of POM.

Key Responsibilities

The role will support the effective administration of QED contracts and commercial activities, including;

  • Maintain contract registers, agreements, amendments, purchase orders and supporting documentation.
  • Assisting management with contract reviews, scope clarification, pricing assumptions and commercial obligations.
  • Maintain variation, claim and extension-of-time registers.
  • Prepare supporting documentation, cost build-ups, drafts notices and commercial submissions.
  • Coordinating with project and financial teams to confirm chargeable work and supporting information before invoicing.
  • Maintaining approved pricing schedules, rate records and project cost information.
  • Managing and monitoring the accuracy of operational and project information recorded in Core Plan.
  • Following up project teams regarding missing, incomplete or inaccurate records.
  • Maintain secure, traceable and audit-ready commercial documentation.
  • Monitor contract deadlines, notices, approvals, risks and client requirements.
  • Supporting accurate and timely commercial reporting across QED projects.

  • Able to identify commercial risks, control gaps and potential revenue leakage.
  • Professional when dealing with clients, consultants and internal stakeholders.

Qualifications:

  • Bachelor's degree or diploma in Commerce, Business, Accounting, Finance, Contract Management or a related discipline.
  • Leadership and project management qualification.
  • At least 5 years relevant experience in contract administration, commercial coordination, project controls or a similar role.
  • Experience within drilling, mining, minerals, oil & gas or another project-based operational industry.
  • A sound understanding of contract terms, pricing, variations, claims, payment requirements and commercial reporting.
  • Strong MS Word and Excel skills, including experience with pricing schedules, trackers, reports and controlled documents.
  • Strong numerical, analytical, planning and organizational skills.
