Islands Petroleum is an independently owned fuel and lubes distributor, and the exclusive distributor for Mobil Lubricants in Papua New Guinea. Islands Petroleum operates bulk fuel and lubricant Depots and Distribution Centres in the Islands, Momase, Southern, and the Highlands regions. Our national head office is based in Kokopo.

We are urgently recruiting for Depot Operation Supervisor for our operations in Mt Hagen in Western Highlands Province.

The Role & Responsibilities

The Depot Operations Supervisor is responsible for overseeing day-to-day depot operations, ensuring compliance with Health, Safety, Security, and Environmental (HSSE) standards, and maintaining effective communication and coordination within the team. This role includes supervising depot staff and trainees, coordinating inventory and delivery activities, and ensuring proper adherence to Standard Operating Procedures (SOPs). The Depot Operations Supervisor assists the Depot Manager and Assistant Depot Manager in achieving operational excellence and safe, efficient depot management.

Other responsibilities include:

  • Incumbent to assist the Depot Manager provide management and leadership support in the ongoing efficient operation of the depot.
  • Creating, assigning, and monitoring the completion of tasks which are delegated to your team.
  • Ensuring that all the required tools, resources and equipment is available for your team to complete set tasks.
  • Review, inform and monitor people’s compliance to job tasks policies, procedures, SOP and work instructions.
  • Monitoring employee productivity and provide constructive feedback and coaching
  • Highlight people issues to HR to ensure problems can be collaboratively worked on and addressed.
  • Disseminating Company information to employees at team or pre-shift meetings
  • Instil the IPL values into operational activities, pre-shift meetings, and employee performance conversations
  • Effectively coordinate and communicate to ensure the successful execution of sales initiatives.
  • Partner with relevant stakeholders in the development and implementation of preventative maintenance programs for depot infrastructure, assist with the development of short/medium/long term maintenance plans.
  • Assist with site Operational and Maintenance budgets.
  • Ensure customer service delivery in line with advertised delivery standards.
  • Assist in the developing training plans and delivery of operational training programs for staff.
  • Assist with managing stock on site and stock orders by observing adequate replenishment cycles to ensure optimum stock levels for all fuel and lube products. Coordinates with Service Station Managers and customers on stock replenishment.
  • Responsible for the management of all company assets and ensuring that the assets are maintained at operational standards.
  • Ensuring that depot employees are highly motivated, competent, and well trained and effective systems are in place to provide feedback on performance levels and encourage a high-performance work culture.
  • Support Depot Manager with reports to be done and submitted in a timely manner to the Management.
  • Review, develop and ensure correct processes and SOPs are available to the Operations Superintendents and Yard staff for guidance and implementation.
  • Plan and coordinate marine tanker and bunker operations with Superintendents and yard supervisors and Operations team.

Role Requirements

  • Required or Desirable university Degree or equivalent in a recognised tertiary institution
  • At least 3-year experience in an oil industry or related field
  • Business Acumen
  • Communication Proficiency
  • Problem Solving & Decision Making/ Analysis, Customer Service.
  • Inventory Management – stock and supply management experience.
  • Knowledge of the petroleum industry products and facilities and knowledge of engineering related maintenance of fuel depot facilities
  • Ability to effectively train, mentor and coach staff.
