Job Description:

We are seeking a highly organized, deadline-driven, and detail-oriented Executive Assistant to provide administrative and operational support to the Managing Director and the executive team at Avodah PNG Enterprise Limited. The ideal candidate will be a proactive and resourceful individual with excellent communication and interpersonal skills, who can multitask to ensure the smooth functioning of the executive office. The ideal candidate will have previous experience in similar roles with medium-sized corporate companies and possess exceptional organizational and communication skills.

Key Responsibilities:

  • Schedule Management:
  • Manage calendar for Managing Director and the Executive Team (meetings, appointments, travel logistics)
  • Coordinate with teams/stakeholders for scheduling
  • Correspondence:
  • Handle emails, letters and other communication
  • Be the point of contact between the Managing Director and Internal/External Stakeholders
  • Draft responses on behalf of Managing Director (when needed)
  • Meeting Coordination:
  • Arrange Meetings for Managing Director and Executive Team with internal/external stakeholders. (Venue, Agendas, Attendance, catering)
  • Prepare meeting materials (documents, presentations, meeting minutes)
  • Administrative Tasks:
  • Maintain files (Basic book keeping of physical & digital files)
  • General office maintenance and replenishment
  • Confidentiality:
  • Handle sensitive information discretely
  • Maintain confidentiality of Exec Matters

  • Strong organizational and multi-tasking skills
  • Knowledgeable in time management
  • Adaptable, resilient, and able to work under tight deadlines.
  • Flexibility to work overtime

Skills & Qualifications:

  • Excellent Organization & Time-management
  • Strong communication Skills – written and verbal
  • Discretion and professionalism
  • Diplomacy, reliability and the ability to multi-task
  • Fluent in Microsoft Office, Excel, PowerPoint, Word, Outlook
  • At least 3-5 years of experience in a similar role with a private company
