Executive Assistant_ Office of the Deputy Vice-Chancellor & Provost
The Organisation:
Pacific Adventist University (PAU) is owned and operated by the South Pacific Division of the Seventh-day Adventist Church. The institution is accredited by the Adventist Accreditation Association, an international denominational authority for all tertiary and graduate educational programs and institutions owned by the Seventh-day Adventist Church entities. The main campus is located on the pristine Koiari Park, 14 miles outside Port Moresby, the capital of Papua New Guinea. The institution was established in 1984. Since then, it has grown from a college of 20 students to a university of over 1000 students from across the Pacific.
The Role:
Reporting to the Deputy Vice-Chancellor (Academic) and Provost, the Executive Assistant is responsible for managing the administration and public liaisons of the Deputy Vice-Chancellor (Academic) & Provost’s Office, as well as assisting and contributing to any promotional activities and events, as organised through the Academic Office.
Core Responsibilities:
- Provide Executive & Secretarial assistance to the Deputy Vice-Chancellor (Academic) & Provost.
- Manage schedules, appointments, phone calls, and correspondence.
- Organise and manage events for the Deputy Vice-Chancellor’s Office.
- Document & Records Management
- Event & Graduation Coordination. Assist in planning and execution of graduation weekend activities.
- Stakeholder Liaison. Act as a point of contact with internal and external stakeholders, including staff, students, government agencies, aid organisations, sponsors, and parents.
- Collaborate with the Executive Assistant to the Vice-Chancellor on events and public relations.
About you:
Qualifications and Skills required:
- A diploma in office management or other related area of study (bachelor's degree preferred)
- Minimum of 5 years of work experience in an executive-level office Administration, preferably in a higher education or corporate leadership environment
- Excellent communication and interpersonal abilities.
- Strong time management, organisational, and multitasking skills.
- Professional integrity and discretion in handling sensitive information.
- Commitment to supporting a safe and efficient work environment.
- Ability to work unsupervised while maintaining accountability
