Grand Columbia is expanding its portfolio of projects and seeking qualified professionals to drive excellence forward.
We are seeking to hire a qualified Executive Officer. The duties are to provide a high-level administrative support directly to the Managing Director, while also collaborating closely with the Projects and Leasing Marketing teams to secure tenants for the company’s commercial properties. This role requires strong organizational skills, professionalism, and the ability to engage confidently with top executives, scheduling appointments, preparing agendas, and representing the company with discretion and poise.
Responsibilities
- Managing correspondence and coordinating meeting schedules on behalf of the Managing Director.
- Overseeing the end-to-end tenanting process, including handling enquiries, conducting screenings, and coordinating fit-outs.
- Scheduling and facilitating meetings with senior-level executives, ensuring seamless coordination and professional engagement.
- Preparing reports, presentations, and briefing documents as needed to support executive and team strategic planning and decision making
- Developing and managing files and databases, with a strong focus on maintaining data accuracy and ensuring confidentiality.
- Coordinating and maintaining lease documentation to ensure accuracy, compliance, and timely execution.
Qualifications
- Proven experience as an Executive Assistant, with a strong background in senior-level administrative support or a comparable role.
- Demonstrate proficiency in applying real estate market analysis techniques to assess property value, market dynamics, and investment potential.
- Experience with office management software like MS Office (MS Excel, MS Word and MS PowerPoint, specifically)
- Strong organization skills with a problem-solving attitude
- Excellent written and verbal communication skills
- Attention to detail
- High school diploma; additional qualifications in Office Administration are a plus
