Job Description
Under the overall supervision of the Head of Resources Management in Papua New Guinea and direct supervision of the Senior Finance Assistant, and, in collaboration with relevant units at Headquarters and the Administrative Centres, the successful candidate will be responsible and accountable for providing support to the resources management functions in Port Moresby office
Responsibilities
- Assist in preparing online invoices for monthly payments like utilities, consultant fees, staff salaries, and external services.
- Provide clerical support to the finance office on its daily administrative and financial activities
- Provide assistance for the smooth daily running of the administrative functions in a timely fashion, and in accordance with the Mission's regulations and procedures
- Prepare & post accounting transaction to the Office, follow up with relevant staff for the missing documents (if any) and provide general logistic support such as photocopying and scanning documents, vouchers prepared by the unit, etc.
- Provide support in maintaining an efficient filing & E-filling system for vouchers/financial documentation/receipts and ensure their timely filing & E-filling in chronological order;
- Provide support in verifying invoices, supporting documentation and that the goods or services they refer to were duly received or provided in line with IOM financial management rules and procedures before proceeding with payment request;
- Provide assistance for processing all staff services such as travel, expense claims, document retrieval, etc;
- Provide support to finance team in maintaining a proper and systematic completion of all posted payments and other accounting documents in line with IOM financial management rules and procedures;
- Assist the finance team in maintaining accuracy in relation to financial tracking and record keeping of the daily projects and financial activities.
- Provide support in preparing financial reporting & Monitoring for the projects so that project commitments and expenditures are tracked according to IOM standards.
- Assist in timely clearing and follow up for mission vendor maintenance
- Assist in monthly and yearly end closure of accounts.
- Handle petty cash accounts and verify all cash postings and supporting documents are complete and in line with IOM Financial management rules and procedures
Qualifications
Education
- High School diploma with three years of relevant experience; or,
- Bachelor's degree in Business Administration, Accounting, Finances, or related fields with one year of relevant professional experience.
Experience
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in SAP or Oracle is a distinct advantage;
- Attention to detail, ability to organize paperwork in a methodical way;
- Discreet, details and clients-oriented, patient and willingness to learn new things; and,
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural seiting is an advantage.
