Position: Fleet Coordinator

Reinhold Engineering and Group of Companies Limited is a nationally owned civil works and building construction company based in Port Moresby. As we continue to grow and strengthen our operations across Papua New Guinea, we are seeking a capable and experienced Administration Manager to lead and manage our administrative functions.

About the Role

The Fleet Coordinator will oversee the maintenance, scheduling, and daily operational readiness of our fleet of heavy equipment and vehicles. Ensuring to maximize asset uptime, control operational costs, and ensure strict adherence to all safety and regulatory standards. This role is the vital link between field operations, maintenance teams, and management.

Key Responsibilities

  • Develop and manage comprehensive maintenance schedules for all fleet assets to prevent breakdowns and minimize costly downtime.
  • Coordinate all repair activities, including emergency roadside assistance and vendor-managed services, to swiftly return vehicles to operation.
  • Maintain accurate and up-to-date records for vehicle registrations, inspections, certifications, and insurance policies.
  • Oversee fuel management programs, including monitoring consumption, logging transactions, and identifying opportunities for efficiency improvements.
  • Generate regular reports on fleet performance, maintenance costs, fuel usage, and compliance status for management review.
  • Liaise with equipment operators, drivers, and maintenance personnel to address concerns and ensure clear communication on scheduling and vehicle status.
  • Administer contracts and manage relationships with external suppliers, repair shops, and parts suppliers.
  • Continuously monitor and enforce compliance with all company safety policies and industry regulations.
  • Other duties in line with the role as requested by Management.

Qualifications and Experience

  • Degree in Business Management/Administration, or a related technical field; equivalent practical experience will be considered.
  • Minimum of 3 years of experience in fleet coordination, dispatch, or maintenance planning, preferably within construction, logistics, or a related industry.
  • Proven experience managing maintenance schedules for a diverse fleet of vehicles and heavy machinery.
  • Demonstrated background in maintaining regulatory compliance documentation and managing vendor relationships.
  • Excellent communication skills
  • Strong organizational and communication skills
  • Proficiency in MS Office applications (Excel, Word, Outlook)
  • Ability to multitask and work under pressure
