Job Description: Grounds & Facility Manager

Position Summary

The Primary Role is the efficient Management and Supervision of grounds staff for the purpose of managing the upkeep, maintenance of the Grounds, Buildings, Machinery and Equipment.

The role is more generally to ensure that the land and property is maintained to a high standard, services are reliable and costs are kept to a minimum while at the same time ensuring compliance with Papua New Guinea’s workplace health, safety, and environmental regulations.

Key Responsibilities

Staff Supervision

  • Lead and supervise groundskeepers, maintenance workers, and cleaning staff.
  • Ensuring all employees attend work on time and work the designated 8 hours per day and 4 hours on alternate Saturdays.
  • Allocating tasks to small teams and following up hourly to ensure tasks allocated are being completed in the manner instructed and in a reasonable time.
  • Provide on-the-job training for local staff, ensuring safe work practices.
  • Promote teamwork and respect for the Society, fellow workers, yourself and the grounds.

Contractor Supervision

  • Contact and obtain quotes, authorisation for acceptance and Coordinate and monitor contractors for specialised repairs, construction, and equipment servicing.

Tools and equipment

  • Responsible for the custody and general maintenance of all tools, machinery and equipment on the Grounds.

Facility Management

  • Ensure that the grass is kept cut throughout the whole grounds on a weekly basis and that rubbish is not allowed to accumulate and removed on sight!
  • Grass cutting means around all buildings, car parks and trees.
  • Supervise the maintenance of the grounds, grass areas, roads, drainage, fencing, and buildings.
  • Oversee day-to-day operation and maintenance of buildings, utilities, and infrastructure.
  • Manage preventative and corrective maintenance programs, including power, water, and plumbing.
  • Ensure compliance with PNG workplace health and safety regulations and local authority requirements.
  • Source quotations for maintenance materials as required.
  • Keep accurate records of emails, quotes and routine inspections.
  • Read water and power meters and provide to Office Manager monthly to support Invoices from Service providers

Qualifications & Skills

Essential

    • 5 years previous experience in facility, property, or grounds management in PNG or similar environment.
    • Must be able to manage a team of between 10 and 15 men and or women. Be able to impose discipline by gaining their respect and by applying disciplinary measures if any staff members are not performing to expected standards. Leadership and supervisory skills are essential.
    • Computer skills, Knowledge of Microsoft word and excel, able to use email and communicate clearly in English with contractors, hardware stores etc.
    • Working knowledge of building processes (block work, carpentry, welding, profiles, foundations, concreting, electrical, plumbing, drainage, water supply).
    • Numeracy skills and able to work out measurements, quantities, volumes.
    • Able to produce comprehensive material lists and quantities in order to complete maintenance tasks. Able to draft orders for approval and check quantities received against orders placed.
    • Able to properly store, record and manage materials stocks and tools including an asset register.
    • Familiarity with PNG safety regulations and Occupational Health & Safety standards.
  • Driver’s license.

An Advantage

  • Trade qualification, diploma, or degree in facilities management, engineering, or a related field.
  • Able to drive Motor Bike and Tractor/ Backhoe / Agricultural Machinery

Working Conditions

  • Field work including regular inspections of outdoor areas.
  • May be required to attend to urgent facility issues after hours or on weekends.
  • Role involves working in PNG’s tropical climate and requires good physical fitness.
  • Housing and salary to be negotiated with the successful applicant.

Reporting

  • Report to Senior Management
  • Prepare verbal and written reports to the Management Team when called to attend those meetings.
