Overview

We are seeking a competent, proactive, and customer-focused Heavy Machinery Service Advisor to join our Heavy Machinery & Power Systems Service Team in Port Moresby.

This role is critical in coordinating between customers, service technicians, supervisors, and managers to ensure efficient service delivery. The successful candidate will manage service inquiries, job scheduling, job orders, invoicing, and administrative support while maintaining high standards of customer service, safety, and teamwork.

Key Responsibilities

• Act as the main liaison between customers, service technicians, Service Supervisor, and Manager
• Receive and respond to customer service inquiries via phone and email
• Raise job orders, schedule service and project works, and coordinate field and workshop services
• Consult daily with technicians to initiate, update, and close service jobs (in-shop and field)
• Prepare service quotations in line with Boroko Motors and WRC Finance policies
• Monitor technician attendance, productivity, and job completion timelines
• Report defects, additional works, and variations for approval before proceeding
• Perform daily invoicing and submit documentation for payment processing
• Coordinate workflow with Parts and Accounts teams
• Maintain accurate service records, reports, and field service documentation
• Support business KPIs, monthly and annual service targets
• Promote safety culture, good work practices, and continuous process improvement
• Be available for extended hours or call-outs when required

Required Qualifications, Skills & Experience

• Grade 10 or Grade 12 Certificate
• Qualification from a recognized tertiary institution in PNG in: Clerical, Secretarial, Business Studies, or Technical Trade Certificate (Diesel Heavy, Light Motor, or related mechanical trade)
• Strong computer literacy and administrative skills
• Fluent in spoken and written English
• Minimum 3–5 years’ experience in a similar role or with a mechanical background
• Previous experience as a Service Advisor is an advantage
• Strong customer service, communication, and coordination skills
• Reliable, punctual, and committed with strong work ethics
• Team player with a positive attitude and sober habits
