Hire Officer

Spectra Industrial Limited - a Leader in Sales, Service and Hire of Forklifts, Gensets and Industrial Supplies, is seeking organized and well experienced individuals to join our Lae Hire / Rental Team and be a part of our growing enterprise!

Position Description

Position Title: Hire Officer

Company: Spectra Industrial Limited

Location: Lae, Morobe Province

Reports To: Hire Operations Manager / Hire Business Development Manager

Position Purpose

The Hire Officer is responsible for the coordination, administration, and execution of Spectra Industrial’s equipment and generator hire operations. This role ensures efficient processing of enquiries, quotations, dispatch, and returns while maintaining high levels of customer service and administrative accuracy.

Key Responsibilities

  1. Hire Coordination & Administration
  • Manage the full hire lifecycle from enquiry to return.
  • Prepare hire agreements and related documentation.
  • Maintain accurate system records for all hire activities.
  • Monitor contracts and update records as required.
  1. Quoting & Commercial Support
  • Prepare and follow up quotations in a timely manner.
  • Ensure pricing aligns with company guidelines and approved rates.
  • Support sales conversion through responsive commercial follow-up.
  1. Fleet Allocation & Utilization
  • Coordinate equipment allocation to meet hire requirements.
  • Track fleet utilization and availability.
  • Optimize deployment to maximize equipment use and service levels.
  1. Logistics & Dispatch Coordination
  • Coordinate deliveries and collections for hired equipment.
  • Liaise with transport and site teams to ensure timely movement of assets.
  • Ensure dispatch and return documentation is complete and accurate.
  1. Client Relationship Management
  • Act as the key contact point for hire clients.
  • Provide responsive service and clear communication throughout the hire process.
  • Manage client expectations and escalate issues when necessary.
  1. Invoicing & Revenue Capture
  • Capture all hire-related charges accurately and completely.
  • Support billing and reconciliation processes.
  • Ensure billing follows correct hire periods and invoicing cycles.
  1. Compliance, Documentation & Internal Coordination
  • Maintain accurate records and ensure compliance with company procedures.
  • Support audits by providing complete and accurate documentation.
  • Liaise with workshop, operations, sales, and accounts teams.
  • Ensure effective communication across departments to support hire operations.

Qualifications & Experience

  • Experience in hire, logistics, or administration roles.
  • Experience in an industrial, equipment, or related environment is advantageous.
  • Experience using ERP or similar business systems like Odoo.
  • Strong computer and administrative skills.
  • Excellent communication and customer service skills.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and work in a fast-paced environment.
