Job Vacancy: HR Systems Administrator

Job Summary:

The HR Systems Administrator is responsible for managing, maintaining, and optimizing the organization’s Human Resource Information Systems (HRIS), including platforms such as Pronto, Eco-time and Bio-plus. This role ensures that HR systems are user-friendly, reliable, and aligned with organizational policies, enabling efficient HR operations and accurate data management.

Key Responsibilities:

  • Maximize the use of technology to deliver effective services and ensure continuous improvements in the HR department.
  • Ensure effective utilization of the Eco-time system and Bio-plus, optimizing them for user-friendly access across the organization.
  • Provide technical support and training to HR staff and end-users on system usage on system change.
  • Monitor system performance, troubleshoot issues, and liaise with vendors for resolution.
  • Ensure data integrity, accuracy, and compliance with organizational policies and legal requirements.
  • Generate and analyze HR reports to support decision-making and workforce planning.
  • Collaborate with HR leadership to identify opportunities for process improvement and system enhancements.
  • Support system upgrades, testing, and implementation of new features.
  • Maintain security protocols and safeguard sensitive employee information.
  • Document system processes, and user guides for staff reference.
  • Ensure electronic filing of personnel files is accurately maintained and regularly updated.
  • Ensure accurate data is extracted from HR systems to support timely and reliable reporting.
  • Any other duties as may be assigned by your line manager.

Qualification and Skills:

  • Bachelor’s degree or Diploma in Human Resource Management, Information Technology or a relevant field.
  • Proven knowledge and work experience in HR System Administrator, HR Analyst or similar role.
  • Strong understanding of HR processes and data.
  • Excellent analytical and problem-solving abilities.
  • Ability to manage multiple priorities while paying attention to details.
  • Exceptionally strong attention to detail, accuracy in work is essential.
  • Consistency in meeting deadlines and ability to juggle high volume and competing priorities.
  • Confident and proficient in all Microsoft Office programs is essential.
  • Knowledge in Pronto ERP system, Eco-time system and operating Bio-plus.
  • Excellent interpersonal skills and the ability to work with a diverse group of people as part of a team.
