The Opportunity

The Kitchen Admin Support will report to the Executive Sous Chef and will be responsible for providing administrative and operational support to the kitchen team to ensure efficient day-to-day kitchen operations. This role assists with inventory records, supplier coordination, scheduling, documentation, compliance records, and general administrative duties while supporting smooth communication between kitchen and management teams.

What You’ll Do

  • Maintain and organize kitchen records, documents, and filing systems.
  • Prepare and update daily, weekly, and monthly reports.
  • Assist with data entry, invoice processing, and purchase order tracking.
  • Support kitchen staff scheduling and attendance records.
  • Handle emails, phone calls, and communications related to kitchen operations.
  • Assist with stock counts and inventory management.
  • Record and monitor stock usage and shortages.
  • Coordinate with suppliers regarding orders, deliveries, and discrepancies.
  • Maintain accurate purchasing and receiving records.
  • Support food safety and hygiene documentation requirements.
  • Ensure kitchen records comply with company and regulatory standards.
  • Assist in maintaining SOPs, checklists, and operational manuals.
  • Monitor expiry dates and filing of inspection reports.
  • Liaise between kitchen staff, management, and suppliers.
  • Assist in coordinating catering orders or special events if required.
  • Support smooth workflow and communication within the kitchen department.
  • Provide general administrative assistance to the kitchen leadership team
  • Financial Accuracy (Food Costing): Assist in tracking daily food cost percentages and flagging significant price variances from suppliers.
  • Waste Management Documentation: Maintain and analyse daily wastage logs to identify patterns and support waste reduction initiatives.
  • Recipe & Menu Management: Maintain the digital database of standardized recipes, ensuring yield updates and allergen information are current.
  • Equipment Maintenance Records: Maintain a log of kitchen equipment repairs and service schedules (e.g., preventative maintenance for ovens and refrigeration).

What we need from you

  • 1–2 years’ experience in administration, hospitality, or kitchen operations preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Good communication and interpersonal abilities.
  • Ability to multitask and work in a fast-paced environment.
  • Attention to detail and accuracy in record keeping.
