VACANCY ANNOUNCEMENT

Position: Logistics and Admin Officer

Full-Time, Fixed-Term position until 30 Sept 2026, with possible extension

Location: MAG PNG Office, Port Moresby, Papua New Guinea with travel throughout PNG, especially to MAG project locations.

Salary: The starting monthly salary for this position is 2960 PGK

About MAG:

MAG (Mines Advisory Group) is an international humanitarian organisation based in Manchester, UK, and working in 32 countries. We remove landmines and unexploded ordnance to release safe and productive land for communities, and work to reduce the threat of armed violence by supporting governments to safely manage weapons and ammunition. In 1997, MAG was a co-recipient of the Nobel Peace Prize for our work campaigning for the Anti-Personnel Mine Ban Convention.

About the role:

MAG PNG is currently seeking to recruit a Logistics and Admin Officer to join the team in our Port Moresby office and contribute to our work on reducing armed violence in PNG. The Logistics and Admin Officer is responsible for ensuring that all logistics administrative processes are completed efficiently, including maintaining and controlling equipment, maintaining logistics paperwork and record systems in compliance with Logistics Standard Operating Procedures. Additionally, this role will have some general office administrative responsibilities.

Responsibilities include:

Procurement

  • Manage day-to-day procurement activities, ensuring compliance with MAG Logistics procedures, policies, and donor requirements.
  • Assist in preparing and issuing Requests for Quotations (RFQ) and Purchase Orders (PO). Collect supplier quotes in line with MAG procurement policies.
  • Maintain accurate procurement records and ensure proper documentation and filing.
  • Liaise with suppliers and service providers to ensure timely and accurate completion of orders.
  • Cultivate effective supplier relationships to achieve the best possible price, quality, service, and terms for MAG.
  • Compile and manage a supplier database and establish preferred suppliers.
  • Regularly review price comparisons and monitor material/item costs.
  • Prepare and distribute weekly procurement reports to the Security and Access Manager and Country Director (CD), addressing any procurement-related issues.

Asset and Inventory Management

  • Record all purchases of Capital and Non-Capital Assets, ensuring they are asset tagged
  • Maintain an up-to-date Asset Register and submit a monthly copy to the Security and Access Manager and CD.
  • Update the Assets Database to ensure effective asset tracking, including adding newly procured equipment and asset encoding.
  • Liaise with the Security and Access Manager and CD regarding asset-related matters.
  • Ensure that all staff return all MAG assets upon departure from the programme.
  • Perform other tasks assigned by the line manager, which may include aspects of asset management.
  • Support inventory management of stocks and tool handover/takeover processes.
  • Monitor product quality, expiry dates, and ensure cleanliness and organization of storage areas.
  • Issue and record store items accurately; maintain organized and compliant stock documentation.

Distribution:

  • Collect and dispatch new equipment/supplies as required.
  • Verify goods for quality, quantity, and compliance with specifications.
  • Organize transportation of equipment/supplies to areas of operation.
  • Ensure accurate recording of incoming supplies/equipment on Goods Received Notes.

Office Administration:

  • Establish and maintain proper and up-to-date filing systems (paper and electronic) for efficient organization of office records, files, and documents.
  • Handle incoming and outgoing correspondence, emails, and calls.
  • Schedule and coordinate meetings, appointments, and travel arrangements in coordination with the Security & Access Manager.
  • Manage office supplies and equipment inventory, and order as needed.
  • Assist in trip planning and coordination.
  • Assist in managing travel and immigration matters for MAG staff in the country and visiting staff, including visas, permits, flight reservations, hotel bookings, and transport arrangements.

General Responsibilities:

  • Work within the framework of MAG’s core values.
  • Maintain professional conduct in line with MAG’s core values as actions represent MAG.
  • Contribute to other fundraising initiatives where appropriate.
  • Participate in meetings as relevant.
  • Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise.
  • Undertake and apply learning from appropriate training and development programs.
  • Undertake any other duties as may be required.

Essential Experience

  • Demonstrated experience in procurement and logistics
  • Previous administration experience

Essential Skills and Knowledge

  • Strong negotiation skills
  • Excellent organisational skills, with the ability to prioritise work and meet deadlines
  • Proficiency in databases and Microsoft Office Suite
  • Language requirements – Fluent in written/spoken English

Essential Aptitude

  • Ability to work calmly under pressure
  • Ability to work with minimal supervision
  • Detail-oriented with strong problem-solving skills
  • Ability to demonstrate initiative, be proactive and offer a solution-oriented approach.
  • Determined and committed to high quality standards
  • Understanding of NGOs and a commitment to MAG’s humanitarian mandate
