Reporting to: Finance & Administration Manager

Reinhold Engineering and Group of Companies Limited is a nationally owned civil works and building construction company based in Port Moresby. As we continue to grow and strengthen our operations across Papua New Guinea, we are seeking a capable and experienced Logistics Officer to coordinate deliveries and support our construction projects.

About the Role

The Logistics Officer will coordinate the movement of procured materials, tools, equipment and plant from suppliers to construction sites.

Reporting to the Finance & Administration Manager, the successful applicant will work closely with Procurement, Stores and project teams to ensure deliveries arrive on time, in full and at the agreed cost. The role requires strong organisation, accurate documentation and the ability to manage competing priorities in a busy construction environment.

Key Responsibilities

Procurement & Delivery Coordination

  • Coordinate supplier delivery schedules in line with Purchase Orders raised by Procurement.
  • Confirm delivery dates, quantities and transport arrangements before dispatch.
  • Follow up outstanding and delayed orders, and keep Procurement and project teams informed.
  • Coordinate checks of deliveries against Purchase Orders, invoices and delivery dockets, and resolve discrepancies before acceptance.
  • Track materials from supplier dispatch through to site delivery.

Transport, Freight & Site Support

  • Plan and arrange transport of construction materials, tools, equipment and plant to project sites.
  • Arrange mobilisation and demobilisation of hired plant and equipment as requested by Procurement.
  • Coordinate shipping, freight, customs clearance and local transport for imported materials.
  • Work with Stores to ensure delivered materials are received, checked and recorded correctly.
  • Provide Goods Received Notes (GRNs), waybills and delivery dockets for stock recording.
  • Visit project sites as required to confirm logistics needs and resolve delivery issues.
  • Support site mobilisation, camp logistics and urgent deliveries.

Documentation, Cost Control & Reporting

  • Maintain accurate delivery records, waybills, transport invoices and GRNs.
  • Verify transport and freight invoices against agreed rates before submitting them for payment review.
  • Prepare weekly reports covering deliveries, delays, logistics costs and supplier performance.
  • Monitor transport expenses and identify practical opportunities to reduce costs without compromising safety or delivery requirements.

Safety & Compliance

  • Ensure logistics activities follow company WHS policies and applicable PNG transport requirements.
  • Coordinate safe loading, load restraint and transport arrangements.
  • Report accidents, damage, losses and delivery incidents promptly to the Finance & Administration Manager.

Qualifications & Experience

  • Diploma in Business Administration or a higher qualification.
  • Minimum of three years’ experience as a Logistics Officer or in a similar role within the construction industry.
  • Proficiency in Microsoft Excel, Word, Outlook and procurement or logistics software.
  • Experience coordinating suppliers, transport providers and site deliveries.
  • Experience with freight forwarding, shipping and customs clearance is an advantage.

Essential Skills & Competencies

  • Strong planning, coordination and problem-solving skills.
  • Good knowledge of PNG supplier networks, roads, shipping and transport routes.
  • Good negotiation and cost-control skills.
  • High attention to detail and accuracy in documentation.
  • Ability to work under pressure and meet tight deadlines.
  • Clear communication and effective teamwork, particularly with Procurement, Stores and project teams.
  • Professional conduct, confidentiality and accountability.

What We Offer

  • Competitive remuneration package.
  • Opportunity to contribute to a growing nationally owned company.
  • Professional and respectful working environment.
