Position: LOGISTICS SUPERVISOR
General Description
The logistics supervisor is responsible for the effective coordination and supervision of the company’s daily logistics operations, including inventory, cargo handling, deliveries, dispatches, transportation, and coordination with suppliers, vendors, government offices, and other external parties.
The position ensures that all goods and cargo are properly received, stored, packaged, dispatched, transported, and delivered safely, accurately, and on time. The logistics supervisor is also responsible for supervising logistics personnel and providing regular updates and reports to management.
Key Duties and Responsibilities
1. Inventory and Warehouse
- Receive, check, count, and organize cartons, materials, equipment, and other cargo.
- Ensure all goods are properly stored, labelled, and arranged.
- Conduct regular inventory counts and maintain accurate stock records.
- Monitor stock levels and report shortages, excesses, damages, or discrepancies to management.
- Ensure the warehouse and storage areas are clean, organized, and safe.
- Ensure proper handling and storage of goods to prevent loss or damage.
- Monitor the movement of cargo and materials in and out of the warehouse.
2. Delivery and Dispatch
- Coordinate and supervise all routine deliveries and daily dispatches.
- Plan and coordinate delivery schedules and transportation requirements.
- Ensure all cargo is properly packed, labelled, counted, and secured before dispatch.
- Supervise the loading and unloading of cargo.
- Ensure the correct cargo is delivered to the correct destination.
- Monitor deliveries and follow up with drivers until delivery is completed.
- Ensure proof of delivery and other required documents are properly obtained and submitted.
- Immediately report delivery delays, lost or damaged cargo, accidents, or other issues to management.
3. Cargo Handling and Transportation
- Take responsibility for the proper handling and protection of cargo during transportation.
- Ensure fragile, heavy, valuable, or special cargo is handled appropriately.
- Coordinate with drivers regarding delivery routes, schedules, destinations, and special instructions.
- Monitor the condition and availability of vehicles used for deliveries.
- Report vehicle problems, accidents, or maintenance requirements to management.
- Assist in improving delivery efficiency and minimizing transportation delays and costs.
4. Team Supervision
- Supervise drivers, warehouse workers, helpers, and other logistics personnel.
- Assign daily tasks and delivery responsibilities to team members.
- Monitor attendance, work performance, discipline, and compliance with company policies.
- Provide clear instructions and guidance to logistics staff.
- Ensure team members properly follow company procedures and safety requirements.
- Lead by example and maintain a professional, respectful, and positive working environment.
5. Vendor, Supplier, and Government Coordination
- Coordinate with suppliers, contractors, external vendors, freight providers, and other service providers.
- Act as a point of contact for assigned government offices and external vendors when required.
- Coordinate and follow up on tenders and other logistics-related requirements as instructed by management.
- Follow up on quotations, submissions, approvals, applications, registrations, and other related matters.
- Maintain proper records of communications, submissions, and follow-ups.
- Escalate unresolved issues or delays to management.
6. Reporting and Documentation
- Prepare daily, weekly, and monthly logistics reports as required.
- Provide management with regular updates on deliveries, dispatches, inventory, pending tasks, and operational issues.
- Maintain accurate records of cargo received, dispatched, delivered, and returned.
- Ensure all delivery, inventory, and logistics documents are properly completed and filed.
- Report immediately any loss, damage, shortage, discrepancy, accident, or other incident involving company cargo or vehicles.
7. Safety and Compliance
- Ensure safe loading, unloading, handling, storage, and transportation of cargo.
- Ensure logistics personnel follow company safety procedures and use appropriate PPE where required.
- Report accidents, injuries, vehicle incidents, cargo damage, and safety concerns immediately.
- Ensure all logistics activities comply with company policies, procedures, and applicable requirements.
8. Management Support
- Carry out reasonable and lawful instructions given by management.
- Provide timely updates on assigned tasks and pending matters.
- Coordinate with management before making decisions involving significant costs, operational risks, or major delays.
- Identify logistics problems and recommend practical solutions.
- Perform other logistics-related duties as may be assigned by management from time to time.
Qualifications and Experience
- Minimum Grade 12 qualification.
- Minimum 2–3 years of relevant experience in logistics, transportation, warehouse, supply chain, or a similar supervisory role.
- Previous experience supervising drivers, warehouse staff, or logistics personnel is preferred.
- Experience in inventory management, cargo handling, delivery coordination, and dispatch operations.
- Basic knowledge of logistics documentation and warehouse procedures.
- Basic computer skills, including Microsoft Word, Excel, email, and other relevant systems.
- A valid driver's license is an advantage.
