OCCUPATIONAL , HEALTH AND SAFETY AND ADMINISTRATION OFFICER

Our Property portfolio is seeking to recruit an OHS and Administration Officer that is pro-active, technically savvy and displays technical leadership and pride in one's field.

JOB SCOPE

The OHS and Administration Officer is responsible for coordinating and supporting workplace health and safety (OHS) programs while providing general administrative support to the organization. The role ensures compliance with safety legislation, promotes a safe working environment, and supports efficient office and operational administration.

MAIN DUTIES AND RESPONSIBILITIES

  1. Assist in implementing and maintaining the company’s OHS policies and procedures.
  2. Coordinate workplace safety inspections, risk assessments, and hazard reporting.
  3. Monitor compliance with relevant OHS legislation, regulations, and company standards.
  4. Maintain OHS documentation including incident reports, safety registers, training records, and audits.
  5. Assist with workplace incident investigations and corrective actions.
  6. Support and coordinate OHS training, inductions, toolbox talks, and safety briefings.
  7. Promote safety awareness and a positive safety culture across the organization.
  8. Provide general administrative support including filing, data entry, document control, and correspondence.
  9. Maintain accurate records, reports, and registers related to OHS and administration.
  10. Assist with staff onboarding, inductions, and internal communications.
  11. Coordinate meetings, prepare minutes, and manage schedules where required.
  12. Support procurement of office and safety supplies.
  13. Liaise with internal departments, contractors, and external regulatory bodies as required.

Compliance & Reporting:

  1. Prepare basic OHS and administration reports for management review.
  2. Ensure documentation is up to date and readily available for inspections or audits.
  3. Assist in implementing corrective and preventive actions.

Skills, Knowledge & Abilities

  1. Certificate or diploma in Occupational Health & Safety, Administration, or a related field (preferred)
  2. Minimum 2–3 years’ experience in an OHS and/or administrative role
  3. At least Attended Safety Officer Levels 1 & 2 Courses
  4. Experience in a corporate, construction, facilities, or operational environment is an advantage
  5. Knowledge of workplace health and safety principles and practices
  6. ICAM- Incident Cause Analysis Method
  7. Risk management and environmental trainings, other ISO standard trainings e.g. QMS, FSMS, etc.
  8. First Aid trained including application of CPR
  9. Proficiency in MS Office (Word, Excel, Outlook)
  10. Knowledgeable with all aspects of the HS & E standards, relevant legislation and compliance requirements
  11. Strong administrative and organizational skills, Attention to detail and good record‑keeping ability, Good communication and interpersonal skills, Ability to manage multiple tasks and meet deadlines , Confidentiality and professionalism

Additional requirement

  1. In excellent physical health.
  2. Employment may be subject to passing a medical assessment.
  3. Police clearance certificate required.

WORK ENVIRONMENT

Work at heights, in confined spaces, using ladders, climb, kneel and lay flat on back or on stomach. Display strong hand-eye coordination with the physical ability to lift heavy objects, crawl, crouch, kneel, bend, stand/on your feet for long periods of time. Dealing with hazardous objects and in hazardous areas.

OTHER INFORMATION

Working hours - Monday to Friday and once a fortnight on Saturdays. Due to emergencies, work at night, or on weekends may occur from time to time. Working on public holidays may be required if the need arises and Public Holiday pay is paid accordingly.

Location - Kenmore Properties - 6 Mile Industrial Area

Restrictions - This is position is for candidates who are already permanently living in Port Moresby. This position is open to PNG Citizens only.

Remuneration - Will be commensurate to qualifications and experience.

Probation - Full time employment will be subject to successful completion of a probationary period of three (3) months.
