Officer - Administration - Maintenance Administration (231959)
Job Description
The Officer - Administration is responsible for supporting the Maintenance Administration section of the Fixed Plant Maintenance Department. The role involves performing data entry using Computerized Maintenance Management Systems (CMMS) and other software tools, ensuring the accuracy, confidentiality, and reliability of information entered, updated, or retrieved.
The ideal candidate must have:
- Minimum of Grade 12 or higher education level.
- Formal training in secretarial or a related discipline.
- Office administration, clerical, and typing skills.
- Minimum of three (3) years of experience in office administration.
- Basic bookkeeping and office management experience.
- Ability to interpret parts illustrations and locate/order parts as needed.
- Good computer skills, including the use of integrated management systems, word processing, spreadsheets, and presentation tools. Experience with MS Project is an advantage.
- Excellent communication skills, both written and verbal.
- Ability to work effectively with individuals at all levels.
- Ability to understand and communicate in Tok Pisin is an advantage.
Key Responsibilities:
- Accurately record completed work and transfer relevant data into CMMS.
- Enter ad hoc work orders, manual work requests, and scope details into CMMS.
- Print scheduled work orders and PMs for respective maintenance work groups upon request.
- Schedule work plans and ensure data aligns with the scheduling tool.
- Update labor identification in the manning availability data list.
- Convert planned work details in CMMS, including entering downtimes and equipment hours.
- Enter timesheets for respective work groups.
- Assist and coordinate with local contractors on various issues.
- Update local contract employees on the crew database after confirmation with HR
- Follow up with work orders and backlogs, ensuring timely responses from supervisors.
- Assist General Foreman and Senior Supervisor with documentation.
- Ensure health, safety, and environmental compliance according to company policy.
- Effectively communicate and provide handovers at the end of shifts.
- Maintain a high level of health, safety and environmental awareness and comply with all relevant NPL policies & Procedures.
Mobilization Requirement
- All Applicants must have an up-to-date police clearance Certificate, Acquired within the last 6 months
- Ability to successfully pass a pre- employment medical and drug and alcohol test
- Be a Local Porgeran (Cat 1a – SML, Cat 1b –LMP or Cat 2 – Other Porgera) Candidate and available to start immediately
- The Roster is 14 days on and 7 days off
