General Purpose

Reporting to the National Branch Manager, the Operations Supervisor oversees the daily activities of the car rental branch to ensure smooth, efficient, and customer-focused operations. This role involves managing staff, coordinating vehicle logistics, maintaining fleet quality, and ensuring compliance with contractual lease agreements, company policies and procedures.

Liaising with GPS Tracking Service Providers including Security Response and management, to ensure that nationwide fleet vehicles are tracked, monitored and functioning accordingly. Also managing the incumbent Fleet Officers carry out safety pre-checks to ensure compliance prior to issuance of vehicles.

Key Tasks and Responsibilities

• Manage staff consisting of Fleet Officers, Drivers and Detailers.
• Track and analyse fleet usage data to optimize fleet size and composition, recommending purchases or disposals of vehicles as needed.
• Investigate and report on incidents involving rental and lease vehicles, including accidents and breakdowns, to identify causes and prevent future occurrences.
• Assisting the National Branch Manager to prepare lease agreements for prospective customers.
• Assisting the Billing team in processing invoices to lease customers on a monthly basis.
• Ensure timely vehicle check-ins/check-outs with lease clients and manage fleet availability.
• Monitor vehicle maintenance schedules and coordinate servicing or repairs.
• Maintain high standards of customer service and resolve escalated customer issues.
• Oversee cleanliness, presentation, and readiness of lease vehicles.
• Ensure compliance with rental agreements, insurance policies, and safety regulations.
• Track and report on branch performance metrics including utilization, revenue, and customer satisfaction.
• Assist in inventory control, fuel management, and damage reporting.
• Train new staff and support ongoing development of team members.
• Collaborate with other branches and departments to optimize fleet distribution and operational efficiency.

Education and Training

• Relevant tertiary qualifications in Business Management and desired experience in one or more of the following areas: customer services and fleet management.
• 2+ years of experience in operations or supervisory role, ideally in the car rental or automotive industry.
• Strong leadership and team management skills.
• Excellent communication and customer service abilities.
• Proficiency in rental management systems and Microsoft Office Suite.

Knowledge and Experience

• Preferably 3 years experience in car rental industry and coordinating or managing wide range of vehicles.
• Knowledge of vehicle maintenance and fleet management.
• Experience with customer dispute resolution.
• Familiarity with local traffic laws and insurance regulations.
• Good practical understanding of managing a car rental company and projecting business within a location.
• Strong facilitation and analytical skills, preferably with skills in supporting strong leadership and decision making.
• Flexibility of working hours across weekdays + weekends.
• You must hold a current class 6 PNG Drivers Licence.
