POSITION DESCRIPTION

PR02 – Property Admin Officer

Kenmore Properties is seeking to recruit an experienced candidate to join our team for the position of Property Admin Officer.

JOB SCOPE

Assist Property Supervisor to manage the property portfolio by monitoring the implementation of maintenance

program for the property. Customer relation services, coordinate the procurement of services and materials,

monitor clerical record keeping.

MAIN DUTIES and RESPONSIBILITIES

  1. Assist Property Supervisor on a daily operation in Property Management Office.
  2. Assist in undertaking joint inspections for move in & out tenants
  3. Maintain positive relationships with tenants.
  4. Respond to tenants’ phone calls, emails and direct contact reporting maintenance/ repair issues.
  5. Assist in ensuring that ‘call out’ procedure for complaint resolution is followed.
  6. Prepare report of Meter Readings for Electricity and water to be submitted to accounts on time.
  7. Assist in administering and monitoring the implementation and efficiency of Maintenance program.
  8. Assist to conduct property inspection as required in the maintenance program.
  9. Assist in managing housekeeping and stationed maintenance team.
  10. Direct and manage daily activity of housekeeping, Pool cleaning, recreational cleaning, common areas cleaning and rubbish and waste management. Make sure that works are completed, efficient and as per program.
  11. Monitor and checking security service and making sure that SOP and Security Protocol are implemented.
  12. Assist in Fixed Asset Transfer and documentation
  13. Assist in the periodic count of Inventory and fixed asset verification.
  14. Assist in monitoring and providing access where necessary with a given instruction from level of authority for all service providers such as and not limited to tenant’s Haus Meri, all sort of delivery, building service and including in-house facilities and maintenance team of Kenmore and it’s Staff.
  15. Assist in administering and implementing Building Gate Pass.
  16. Performs miscellaneous job-related duties as assigned by Property Supervisor.

SKILLS, KNOWLEDGE & ABILITIES

  1. Customer service oriented.
  2. Ability to provide a positive and professional service to clients and colleagues.
  3. Proven soft-skills (time management, customer service, problem resolution) certification would be
  4. Effective communication skills - written and verbal
  5. Good administrative and organizational skills
  6. Proficiency in Microsoft Office Programs
  7. Work with minimum supervision
  8. Possession of recognized tertiary qualification is desirable.
  9. Minimum of 2-3 years’ work experience in property management industry
  10. Occupational Health and Safety certification
  11. Pro-active, positive work attitude, reliable, self-motivated and predictable attendance.
  12. Work autonomously and with teams as required
  13. Ability to prioritize workloads

OTHER INFORMATION

  • Health - Excellent physical health. Employment may be subject to passing a medical assessment. COVID19 Vaccination Certificate to be included in the application
  • Police Clearance - Include current Police Clearance in the application.
  • Driver’s License – Valid Class 1 is essential. Include in application.
  • Working hours - Monday to Friday and once a fortnight on Saturdays. Due to emergencies, work at night, or on weekends may occur from time to time. Working on public holidays may be required if the need arises and Public Holiday pay is paid accordingly.
  • Location - Kenmore Limited Property Division- 6 Mile Industrial Area
  • Restrictions - This is position is for candidates who are already permanently living in Port Moresby. This position is open to PNG Citizens only.
  • Remuneration - Will be commensurate to qualifications and experience.
  • Probation - Full time employment will be subject to successful completion of a probationary period of three (3) months.
