WaterAid has been operating in Papua New Guinea (PNG) since 2004, working with local partners and the government to increase access to gender sensitive, socially inclusive and climate resilient water, sanitation and hygiene (WASH) services. WaterAid PNG’s geographic focus is in the National Capital District, and Central Province in the Southern Region and East Sepik Province.

WaterAid works through supporting local organisations and government authorities to design and demonstrate appropriate and sustainable WASH programs. WaterAid also seeks to influence policy change through government and other key sector actors to secure and protect the right of poor people to safe, affordable water and sanitation services.

Position Summary

The primary objective of this role is to provide effective administration and logistical support to ensure efficient operations. Based in our Port Moresby office, this role, crucial in delivering exceptional customer service and overall welcoming environment.

As the Receptionist, you will work in collaboration with the operations team, to provide support to our programs team in ensuring travels, meetings, conferences and events are organized, maintaining office supplies, and managing mail and deliveries.

The Receptionist will also support the Finance team in filling of payment vouchers (hard copies) and scanning them into the system.

Key Performance Areas/Accountabilities

  • Manage the front office desk in greeting visitors, answering telephone calls and scheduling maintaining outgoing call log register.
  • Handling queries and complaints in a more professional manner.
  • Receiving and dispatching deliveries.
  • Maintaining office supplies such as stationaries and kitchen supplies.
  • Travel arrangements.
  • Meeting and event coordination.
  • Conference rooms custodian for both meeting rooms.
  • Coordinate all runs with the drivers.
  • Filling of payment vouchers and ensuring all supporting documents are on file.

Qualification, Skills & Attributes

  • A certificate in Office Management/Business.
  • Proven experience in administration and logistical arrangements.
  • Minimum of three years’ work experience in similar role.
  • Excellent written and verbal communication skills both in English and PNG Tok Pisin.
  • Excellent organization and time management skills.
  • Demonstrated ability to work effectively in teams.
  • Flexible and can adapt to change.

Physical Environment and Demands

Ergonomic workstations within an open plan office.

Level of contact with children

The position will be required to maintain WaterAid child safeguarding principles and

standards at all times.
