Receptionist
The Organisation:
Pacific Adventist University (PAU) is owned and operated by the South Pacific Division of the Seventh-day Adventist Church. The institution is accredited to the Adventist Accreditation Association, an international denominational authority for all tertiary and graduate educational programs and institutions owned by the Seventh-day Adventist Church entities. The main campus is located on the pristine Koiari Park, 14 miles outside Port Moresby, the capital of Papua New Guinea. The institution was established in 1984. Since then, it has grown from a college of 20 students, to a university of over 1000 students from across the Pacific.
The Role:
The Receptionist serves as the first point of contact for Pacific Adventist University’s main Administration Office. The role is responsible for providing a welcoming and professional environment for staff, students, visitors, and external stakeholders. This position ensures efficient communication, smooth front-office operations, and administrative support to the Deputy Vice Chancellor – Administration, Finance Department and other office staff.
Core Responsibilities:
- Serving as the first point of contact for students, staff, visitors, and external stakeholders.
- Greeting and assisting visitors in a professional, courteous, and welcoming manner.
- Answering and directing phone calls, responding to inquiries, and managing emails.
- Managing incoming and outgoing mail and courier services.
- Always maintaining a tidy and professional reception area.
- Providing clerical and administrative support to the Deputy Vice Chancellor – Administration and the administration team.
- Assisting with scheduling, calendar management, meetings, and events.
- Supporting office record-keeping and filing systems in compliance with PAU policies.
- Coordinating with internal departments to facilitate communication and service delivery
About you:
Qualifications and Skills required:
- Possess a Certificate/Diploma in Secretarial studies, Office Administration and/or other related qualification.
- Have 3 years minimal experience working in a School Office and/or relevant Office environment.
- Prior experience in a university, educational, or public service environment.
- Familiarity with professional office systems and basic reporting.
- High level of sensitivity to the customer service needs of clients from a broad range of cultural backgrounds.
- Very good organizational and time management skills.
- Excellent interpersonal and communication skills
- Professional, courteous, and approachable manner.
- Integrity, confidentiality, and discretion in handling sensitive information.
- Ability to work with minimal supervision.
- Basic understanding of Occupation Health & Safety.
