Summary

The Security Admin Receptionist is the first point of contact for all visitors, staff, and contractors, combining front desk hospitality with administrative and security responsibilities. This role ensures a professional, safe, and orderly workplace by managing visitor access, enforcing grooming and conduct policies, and maintaining a clean, presentable environment at all times.

Key responsibilities include welcoming guests, verifying appointments, issuing passes through the digital Visitor Management System (VMS), handling incident reports, and coordinating with security, facilities, and cleaning teams. The receptionist is responsible for ensuring that all toilets are cleaned regularly by the professional cleaning teams and that cleaning logs are properly maintained and updated.

The ideal candidate is tech-savvy, embraces a paperless environment, upholds a strict clear desk policy, and demonstrates high integrity, etiquette, and confidence when dealing with both internal and external stakeholders.

Duties and Responsibilities

  • Greet and register visitors; verify appointments and issue visitor passes through the Visitor Management System (VMS).
  • Ensure visitor and contractor passes are issued in accordance with the approved listing and company protocols.
  • Be the first point of contact for contractors and visitors; explain site rules and escort or direct them appropriately.
  • Answer and direct phone calls; handle incoming and outgoing mail and deliveries.
  • Maintain accurate logs for visitors, deliveries, incidents, and other security-related activities.
  • Prepare and submit incident reports; follow up on resolutions and escalations as needed.
  • Work fully digitally using tablets or computers; maintain a clear desk policy at all times.
  • Support administrative needs of the department and coordinate with other departments when required.
  • Ensure the reception and ground floor area is clean and presentable at all times; remove any visible rubbish immediately.
  • Serve refreshments to visitors and ensure meeting rooms are clean, arranged, and ready for use.
  • Ensure professional cleaning teams attend to all toilets regularly; monitor and update cleaning logs accordingly.
  • Remind employees and visitors of the company grooming policy when necessary.
  • Report any facility issues to the Admin or Facilities team for prompt resolution.

Job Requirements

  • Certificate or Diploma in Business Administration or equivalent required.
  • 1–3 years of experience in a receptionist, administrative support, or security-related role.
  • Previous experience in a corporate, hospitality, or security environment is an advantage.
  • Strong verbal and written communication skills.
  • Professional, respectful, and courteous demeanor with a strong focus on customer service.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Tech-savvy with strong adaptability to digital tools and paperless processes.
  • Demonstrates good judgment, tact, and confidence when engaging with all levels of staff and visitors.
  • High level of integrity, honesty, and accountability in all responsibilities.
  • Basic understanding of safety and security protocols.
  • Ability to handle confidential information with discretion.
  • Must pass background checks and obtain security clearance if required.

  • Flexibility to work varied shifts, including weekends, if required.
  • Must be dependable, punctual, and maintain a professional appearance at all times.
