Shipping Supervisor

Position Title: Shipping Supervisor
Reports To: Shipping Manager / National Manager
Department: Operations
Location: Port Moresby

Job Summary:

To supervise and coordinate all shipping and freight forwarding activities, ensuring import and export shipments are processed efficiently, documentation is accurate, CargoWise records are maintained, and customer service standards are achieved. The role is responsible for ensuring departmental KPIs are met while maintaining strong communication with customers, shipping lines, customs authorities, and internal stakeholders.

Key Responsibilities:

• Supervise daily shipping and freight forwarding operations to ensure departmental KPIs are achieved.
• Coordinate import and export shipments from booking through to final delivery.
• Ensure MRNs and W&H invoices are issued within required timelines.
• Ensure delivery orders are released promptly and purchase orders are raised within required timeframes.
• Monitor shipment status and proactively communicate updates, delays, and operational matters to customers and stakeholders.
• Liaise with shipping lines, shipping agents, customs authorities, transport providers, and clients on operational matters.
• Ensure all jobs, milestones, costs, revenue entries, and shipment activities are accurately updated in CargoWise.
• Monitor CargoWise job management, job profitability, invoicing, and monthly job closure.
• Ensure shipping-related accounts and outstanding matters are reviewed and reported regularly.
• Coordinate with Operations and Transport teams to ensure timely cargo collection and delivery.
• Train, coach, and support team members to improve performance and service standards.
• Ensure compliance with company procedures, customer requirements, and regulatory obligations.
• Prepare shipping and operational reports for management.
• Perform other duties as assigned by management.

Key Performance Indicators (KPIs)

• Timely release of delivery orders. Timely issuance of MRNs and WH invoices.
• Accurate and timely CargoWise updates. Timely closure and reconciliation of jobs.
• Customer satisfaction and response times.
• Shipment processing accuracy.
• Team productivity and compliance with procedures.
• Achievement of departmental operational targets.

Qualifications and Skills:

Required Qualifications & Experience

• Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
• Minimum 3 years' experience in shipping, freight forwarding, logistics, or transportation operations.
• Previous supervisory experience preferred.
• Experience and working knowledge of CargoWise.
• Sound understanding of customs clearance, shipping documentation, and freight forwarding procedures.

Skills & Competencies

• Strong knowledge of shipping and freight forwarding processes.
• Good understanding of customs and trade compliance requirements.
• Ability to interpret Bills of Lading, manifests, delivery orders, invoices, and shipping documentation.
• Strong leadership, communication, and organizational skills.
• Customer-focused with strong problem-solving abilities.
• Proficient in CargoWise and Microsoft Office applications.
• Ability to work under pressure and meet deadlines.
• High attention to detail and accuracy.
