Title: SWEEP TB Senior Project Officer Classification: Full-Time | Contract Level 6
Location: Daru Office (Daru General Hospital), Western Province, Papua New Guinea
Position Snapshot
The Senior Project Officer will work closely with the Project Manager – Western Province Projects and the Team Leader – Technical (TB Working Group), alongside finance, administration and in-country teams, to provide high-level logistical, administrative and operational support across a range of tuberculosis (TB) projects in Western Province, PNG.
This role is ideal for a development or public health professional who thrives in a dynamic environment and enjoys coordinating complex projects with multiple stakeholders.
Key Responsibilities
1. Project Management Support & Coordination
- Collect, collate and format project reports, briefs and deliverables.
- Support monthly data collection and tracking in collaboration with the TB Specialist – M&E.
- Assist in qualitative data analysis (e.g., pre- and post-training evaluations).
- Coordinate workshops, meetings, conferences and project activities.
- Prepare meeting minutes and track action items.
- Maintain project tracking tools and templates.
- Ensure compliance with Burnet policies and donor requirements.
- Lead travel coordination for consultants and staff (flights, accommodation, visas, registrations, insurance, medical checks, security briefings).
- Support GEDSI Community of Practice and Disability Inclusion initiatives in Western Province.
2. Finance Support & Budget Management
- Support monthly budget reviews (budget vs actuals).
- Assist with transaction coding and financial tracking.
- Support detailed costings for new initiatives.
- Process payments and reimbursements in liaison with PNG and Melbourne finance teams.
- Support procurement and asset register maintenance.
- Provide budget oversight during Project Manager leave periods (RID-TB budget).
3. People & HR Coordination
- Coordinate recruitment, mobilisation and demobilisation processes for in-country staff.
- Support onboarding and orientation of new staff.
- Liaise with HR teams in PNG and Melbourne.
- Build strong working relationships with country offices and technical teams.
4. Organisational & Administrative Support
- Support ANCP reaccreditation documentation collation.
- Assist migration and management of Office 365 filing systems.
- Provide general administrative support to Project Managers.
- Participate in staff meetings, performance reviews and professional development activities.
- Act as focal person for ISOS travel training and Office 365 migration support.
Selection Criteria
Essential
- Qualification in International Development, Public Health or related field, or 2–5 years equivalent experience.
- Demonstrated experience supporting complex projects or programs.
- Experience in monitoring & evaluation and donor reporting.
- Strong understanding of project-related finance (budgeting, forecasting, procurement, payments).
- Experience coordinating travel and visa arrangements.
- Highly developed organisational and time management skills.
- Strong judgement and problem-solving skills.
- Excellent interpersonal and cross-cultural communication skills.
Desirable
- Experience in international development/NGO settings.
- Experience in qualitative and/or quantitative data collection and analysis.
- Experience in public health research.
