Summary

The Workshop Administrator plays a vital role in ensuring the efficient and organized operation of a workshop or maintenance facility. They are responsible for administrative tasks, scheduling, inventory management, and coordination to support the workshop's daily activities. This position requires strong organizational skills and the ability to work collaboratively with technicians and management.

Duties and Responsibilities

  • Manage and maintain records of equipment, tools, and materials within the workshop.
  • Coordinate and schedule repair and maintenance jobs, ensuring timely completion.
  • Monitor inventory levels and order supplies as needed.
  • Track expenses and maintain budget records for the workshop.
  • Prepare work orders, purchase orders, and invoices for workshop projects.
  • Assist in the recruitment and onboarding of workshop staff.
  • Provide administrative support, including filing, data entry, and documentation.
  • Communicate with clients or internal departments regarding service requests and updates.
  • Ensure compliance with safety regulations and maintain a safe working environment.
  • Coordinate and track equipment maintenance schedules and inspections.
  • Resolve issues and challenges related to workshop operations as they arise.

Job Requirements

  • Proven experience as a Workshop Administrator or similar role in a workshop or maintenance setting.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office software and tools for record-keeping and data management.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively under pressure and meet deadlines.
  • Knowledge of workshop operations, equipment, and maintenance processes.
  • Detail-oriented and a commitment to accuracy in administrative tasks.
  • Problem-solving skills and a proactive approach to addressing challenges.
  • Understanding of safety regulations and practices in a workshop environment.
